EICRs, gas safety records and RAMS, filled on site and tracked to the fix

Eighteen ready-made templates, including the EICR, the Landlord Gas Safety Record (CP12) and RAMS, install in one click. Engineers fill them on their phones, you approve them and send the customer the report, and every defect becomes an action with an owner and a deadline, with fixed timescales for EICR codes, gas defects and Awaab’s Law hazards.

The problem it solves

Certificates written up twice

An EICR or a gas safety record filled in on paper is typed up again at night, and the customer waits for the report. Every rewrite is another chance to get a reading or a code wrong.

Defects found, then forgotten

A C2 on an EICR or a failed ladder check gets written down and never fixed. Nobody owns it and nobody has a date, so you hear about it when something goes wrong.

Deadlines that are not yours to move

EICR C1 and C2 codes, gas defects and Awaab’s Law hazards come with fixed timescales. Tracking them in a spreadsheet means someone has to remember to look.

How it works

  1. 1

Install the templates, or build your own

Load Defaults installs 18 templates in one click: certificates such as the EICR, EIC, minor works and CP12, and safety forms such as RAMS, COSHH, hot works and a ladder check. Build your own in the form builder, or describe a form or upload one you already use and AI drafts it for you to check.

  2. 2

Fill it on site, approve it in the office

Engineers fill forms on their phones from the job, with a note and photos on any item, and keep going with no signal. Certificates come to the office for approval: approve them or reject them with a reason, then send the customer a link to the report with your logo on it.

  3. 3

Turn every failure into an action

Failed items from a check or an approved form become corrective actions, each with an owner, a due date and reminders, and a sign-off before closing where you require one. Pick a statutory code, such as EICR C1 or C2, a gas defect or an Awaab’s Law hazard, and the deadline is set for you and cannot be edited.

What you get

  • 18 ready-made templates, including the EICR, EIC, CP12, RAMS and COSHH, installed in one click
  • Your own forms from the form builder, or drafted by AI from a description or a form you already use, for you to check
  • Forms filled on the phone, with a note and photos on any item, and no signal needed once the form is on the phone
  • Approval with a reason for any rejection, and a link to the PDF report emailed to the customer
  • Inspections hub with repeating schedules, and Quick check: Pass, Fail or N/A on each item
  • Corrective actions register with owners, due dates, reminders and an optional sign-off before closing
  • Fixed deadlines for EICR C1, C2 and FI, gas ID and AR defects, and Awaab’s Law hazards
  • Company and engineer registrations, such as Gas Safe and NICEIC, with their expiry status

Compliance Forms & Inspections: frequently asked questions

Which compliance templates come with Field Forge?
Eighteen ready-made templates install in one click from Forms, Templates, Load Defaults: the Landlord Gas Safety Record (CP12), a Gas Safe installation and commissioning record, the EICR, the EIC, a minor works certificate, a PAT test record, fire alarm and emergency lighting records, RAMS, a COSHH assessment, a hot works permit, a working at heights risk assessment, a ladder inspection checklist, a plant and machinery pre-use check, a site safety audit, two asset checks and a plant calibration check. They are Field Forge’s own templates, not a scheme’s official forms, and you can change any of them.
How does Field Forge handle EICR, gas and Awaab’s Law deadlines?
When you raise a corrective action you can pick a statutory code. EICR C1, a gas Immediately Dangerous (ID) or At Risk (AR) defect and an Awaab’s Law emergency hazard are due the next day; EICR C2 and FI within 28 days; an Awaab’s Law significant hazard within 10 working days, counting weekdays only (bank holidays are not skipped). The deadline runs from when the action is raised and cannot be edited. Your own targets for each severity are set in Settings, Action SLAs, and a working due date can be extended with a reason, but never past the statutory deadline.
Can engineers fill in forms with no signal?
Yes, once the form is on the phone. Engineers fill forms from the job’s Forms tab or from the forms assigned to them. With no signal, their answers, photos and signatures are saved on the phone and sent when signal returns. Opening the job’s forms while there is signal puts them on the phone.
How do I approve a certificate and send it to my customer?
Templates that need approval, such as the EICR and the CP12, land in Forms, Submissions. An admin, or a scheduler where the template allows it, approves the form or rejects it with a reason, which is kept with the form. Once it is approved, Send to client emails your customer a link to the PDF report, which carries your logo. A form that needs approval cannot be sent before it is approved.
What happens when an inspection item fails?
On a Quick check you tap Pass, Fail or N/A on each item and can add a note and photos. After a check with failures, or once a form is approved, Field Forge offers to raise the failed items as corrective actions, each with an owner and a due date, and a follow-up job can be raised from an action. Reminders go out as in-app and push notifications before the due date, on it, and every day it is overdue.
Can I record Gas Safe and NICEIC registrations?
Yes. Settings, Registrations records each registration for the company or for a named engineer, with its number, the body that issued it and its expiry date, and shows it as Active, Expiring Soon (within 30 days) or Expired. Gas Safe, NICEIC, NAPIT, OFTEC, F-Gas and others are built in, and anything else, CHAS for example, can be added as your own type. Where an engineer’s Gas Safe number is recorded, the CP12 template fills it in for them.
