The problem it solves

Invoices typed up from job sheets

Someone rebuilds each invoice from notes and the quote, days after the job finished. Lines get missed and the invoice goes out late.

The same job billed twice

A job invoiced in full on top of an application for payment, or two invoices for one visit. The customer spots it before you do.

VAT figures rebuilt every quarter

Pulling the quarter’s sales and supplier bills together for the VAT return takes a day of spreadsheets, and nobody can see which invoice sits behind which box.

How it works

  1. 1

    Invoice from the job

A job ready to bill lands in the Accounts Queue. Create Invoice builds the invoice from the job’s chargeable lines at each line’s sell price, with VAT worked out on that price, and lines you mark as not chargeable stay off it.

  2. 2

    Approve, send, get paid

Approve the invoice, then Send & Lock emails it to the customer with its PDF and locks the figures. Record full or part payments, raise a credit note to correct a sent invoice, and press Send Reminder on an overdue one.

  3. 3

    Your VAT return figures

VAT Returns works out each quarter’s nine boxes from your invoices, credit notes and supplier bills, under the standard, flat rate or cash accounting scheme, and after each recalculation opens the main boxes to show what is behind them. Lock the period when you have filed, through your own MTD software: Field Forge files nothing with HMRC.

What you get

  • An Accounts Queue of jobs ready to invoice, and invoices built from each job’s chargeable lines
  • Approval before an invoice goes, then Send & Lock: emailed with its PDF and locked
  • Full and part payments, credit notes, and void only with a written reason
  • One-click payment reminders on overdue invoices, emailed with the invoice attached
  • Aged debt by customer, and customer statements as a PDF or CSV
  • A job is billed by one invoice or by applications for payment, never both and never twice
  • VAT return figures in the nine-box layout, with the invoices and bills behind them
  • Standard, flat rate and cash accounting VAT schemes, with VAT periods you can lock
  • Card payments from the customer portal into your own Stripe account, with a fee of 1% + 20p per payment
  • The built-in invoice PDF with your logo and VAT number, or your own layout in Word

Invoicing & VAT: frequently asked questions

Can I send my VAT return to HMRC from Field Forge?
No. VAT Returns works out the nine VAT return boxes for each quarter from your sales invoices, credit notes and supplier bills, and after a recalculation boxes 1, 4, 6 and 7 open to list the documents behind them. Export the figures and file them through your MTD software. Boxes 2, 8 and 9, for goods traded with the EU, stay at zero unless you add an adjustment.
Are invoices raised automatically when a job is finished?
No. A job reaches the Accounts Queue when someone marks it Requires Invoice, or when a workflow rule you have set up does. Create Invoice then builds the invoice from the job’s chargeable lines at each line’s sell price, and it waits for approval before it can be sent.
What does Send & Lock do?
It checks the invoice has a number, is worth more than zero, carries your VAT number if it charges VAT, and does not bill the job a second time. It then marks the invoice sent, locks its figures and emails it to the customer’s main contact with the PDF attached. To correct a sent invoice, you raise a credit note.
Can Field Forge chase overdue invoices?
Yes, when you press the button. Send Reminder on an overdue invoice emails the customer with the invoice attached, using your Payment Reminder email template, which you can edit. Reminders are never sent automatically.
Can my customers pay by card, and what does it cost?
Yes, once you connect your own Stripe account. Customers pay an invoice by card from their customer portal, and the payment is recorded against the invoice when Stripe confirms it. Field Forge takes 1% + 20p per payment, on top of Stripe’s own processing fees on your account; your customer pays the invoice amount.
What stops a job being invoiced twice?
A job is billed either by one job invoice or by applications for payment, never both and never by two live invoices. Creating, approving, sending and restoring an invoice each check this, and the job’s Billing tab lists every invoice and credit note against it, with a warning when something is out of step.
